For exhibitors, the Pharmtech & Ingredients team has prepared several important tips that will help make your company's participation as effective as possible.

The Pharmtech & Ingredients exhibition is visited by more than 10,300 industry specialists interested in choosing equipment, raw materials and technologies for the production of pharmaceuticals, dietary supplements, veterinary drugs, blood products and cosmetics. In order for the maximum number of specialists to visit your stand, you should take into account some points.

 

We have prepared a checklist that will help you determine how prepared your company is to participate in the upcoming exhibition.

 

YOUR EXHIBITION STAND

 

Participation with a stand is the basic format of participation. The quality of your stand determines how many visitors will pay attention to your products and how many contacts you will be able to get during the days of work at the exhibition.

To ensure that your booth meets all the criteria for effectiveness , make sure that:

  • You have signed an agreement with the organizer, the location, area and configuration of the stand have been selected and confirmed;

  • You have defined the objectives of participation in the exhibition, you understand who your target audience is and what range of products you want to present at the exhibition;

  • You have ordered a standard stand construction from the Organizer, or selected your own contractor for the design and development of the stand. Remember that a third-party developer must undergo a mandatory accreditation procedure at Crocus Expo;

  • You have ordered the necessary additional furniture and equipment;

  • You have ordered all the necessary technical connections (electricity, water, Wi-Fi, etc.);

  • You have ordered additional cleaning and stand security services (if necessary);

  • You have planned and agreed with the organizer the schedule of activities at the stand (promotional activities, raffles, equipment presentations, etc.);

  • You have completed applications for the import and export of equipment and exhibits, and ordered delivery and logistics services for the necessary materials.

YOUR TEAM AT THE EXHIBITION

 

The effectiveness of participation in the exhibition directly depends on the quality of training of the personnel who will work at the stand.

To ensure your team is ready for the show , make sure:

  • You have calculated and determined the list of personnel who will work at the stand during the exhibition days;

  • You have ordered additional personnel to work at the exhibition, for example, promoters (if necessary);

  • You have drawn up a work schedule for the staff at the exhibition, defined and distributed the functions and areas of responsibility;

  • You have booked hotels and purchased tickets for all employees working at the exhibition (if your company is not located in Moscow);

  • You have ordered additional training to prepare personnel to work at the stand (if necessary);

  • You have ordered additional badges for your staff (the basic number of badges is calculated using the formula “one badge for every 3 sq. m of exhibition space);

  • You have ordered promotional badges for the promotional staff at the exhibition;

  • You have a schedule of meetings with clients and partners at the exhibition;

  • You have scheduled organizational meetings with your team before the exhibition and on the days of the exhibition;

  • You have a defined method for collecting and recording contacts at the exhibition;

PROMOTING YOUR PARTICIPATION

 

It is necessary to start promoting and announcing your company’s participation in the exhibition in advance.

To ensure you're making the most of your promotional opportunities , make sure:

  • You have ordered additional advertising on the site or in the exhibition’s information channels (if desired);

  • You have considered sponsorship opportunities at the exhibition (if desired);

  • You have sent the organizer a news item to announce your company's participation in the exhibition. This option is free to use;

  • You have applied for free inclusion of information about your products in the exhibition news digest through your manager;

  • You announced your company’s participation in the exhibition through all your communication channels (website, newsletters, social networks, etc.);

  • You invited clients and partners to your stand at the exhibition;

  • You have a personal promo code for registering visitors to the exhibition. You can get your company's promo code from the exhibition coordinator or marketer;

  • You have distributed the company's individual promo code through your communication channels;

  • You have prepared souvenirs and promotional products for visitors;

  • You ordered video and photography at the exhibition (if necessary);

  • You have prepared a plan of information activities for the exhibition days (participation in interviews, publications in the media and on the website, publications on the company's social networks).
